The Role
This role is classified as exempt under the Administrative exemption as defined by California law. The Executive Assistant will act as a strategic partner to the President, exercising independent judgment, discretion, and decision-making in support of executive priorities, external visibility, and critical business relationships. The ideal candidate thrives in high-autonomy environments and has demonstrated success supporting senior leadership with a focus on strategic impact.
Responsibilities
Strategic Business Development & Relationship Management
- Identify, prioritize, and engage key referral partners, industry contacts, and prospective collaborators.
- Independently design and execute multi-channel outreach campaigns (email, phone, LinkedIn) on behalf of the President.
- Maintain and optimize the CRM for executive-level contact tracking, follow-ups, and relationship strategy.
Executive Marketing & Thought Leadership
- Lead the management of the President’s public and digital presence, including ghostwriting and publishing thought leadership on LinkedIn.
- Oversee coordination of media opportunities, press recognition, article placement, and award nominations.
- Strategically support the company’s visibility at conferences, trade shows, and speaking engagements.
Executive Operations & Priority Management
- Fully own the President’s calendar, meetings, priorities, and travel with the ability to anticipate conflicts and proactively resolve scheduling issues.
- Independently draft and manage high-level executive correspondence and external communications.
- Ensure deadlines, deliverables, and long-term initiatives stay on track with minimal supervision.
CRM & Continuing Education Oversight
- Manage CRM workflows (FileMaker or similar), ensuring data quality, segmentation, and follow-up scheduling for relationship development.
- Administer Continuing Education (CE) program logistics including registration, compliance, and certification tracking for professional development initiatives.
Qualifications
- Minimum 5 years in a senior Executive Assistant or Chief of Staff-type role directly supporting a C-level executive.
- Demonstrated ability to operate with a high degree of autonomy, confidentiality, and sound judgment.
- Proven experience in business development, CRM management, and/or marketing support.
- Exceptional written, verbal, and interpersonal communication skills.
- Strong organizational agility and ability to prioritize across multiple high-stakes projects.
- High proficiency with modern business tools and an interest in leveraging AI and automation to enhance effectiveness.
