The Company

Our client, a professional investment firm serving global investors, has partnered with HireBetter to hire their Vice President of Operations (the “ VP”).

The Role

Reporting to the COO, the VP will be responsible for leading a team that plays a critical role in identifying, planning and executing efficiency gains, process improvements, cost reductions while balancing customer experience across operations including all aspects of investor and institutional customer management.  The successful candidate will have a proven track record of developing and implementing the processes and procedures necessary to achieve the organization’ s goals and objectives for effective onboarding of investors and institutions as well as enhancing a customer experience driven business model.  The successful candidate will be responsible for the transformational changes across key processes and for leading teams using various project management, change management, process improvement and continuous improvement disciplines in a fast-paced environment.  The candidates are expected to use methodologies like Lean, Six Sigma, Agile, DRIVE, Scrum, PDCA, etc. to drive the effectiveness of the organization linking business, technology, operational improvements and customer experience while changing the culture of the enterprise to focus on continuous improvement.

Key Skills and Responsibilities

  • A leader in building strong relationships across the organization including sales, asset management, accounting and compliance, to support the operations function to ensure the effective onboarding and management of relationships with institutional and individual investors
  • Accountable for operational platform execution across a matrixed organization
  • Lead process improvement and continuous improvement with project management methodologies
  • Establish and sustain a cultural focus on the customer experience across operations
  • Coach a top performing team in leading a productive collaboration and building quality solutions
  • Balance team workload and ensure capacity management
  • Team and SME performance metrics and evaluation
  • Proactively scale an operations team as needed based on seasonal workload and timeframes using a matrixed organizational model

Operations Management
  • Create, maintain, train and evolve a structured framework for investor and institutional customer management
  • Assist with the development and measurement of KPIs and reporting requirements in service level agreements
  • Develop and maintain a continuous improvement framework for processes that focus on customer experience with benchmarks, dashboards and metrics for daily and long-term decision making
  • Contribute and support marketing efforts as required to ensure efficient utilization of operational resources in alignment with prospective investor/institutional marketing
  • Develop, implement and maintain a platform that is the central gold source of investor and fund information to ensure persistency and repeat business with a 360-degree view of the customer
  • Accountability of CRM function, platform and data governance including software and processes
  • Accountability of communication, including timely delivery of fund reports and investor information releases
  • Coordinate compliance and management approvals for fund reports, audits and related activities
  • Personnel management, including team and individual performance (goals, metrics, individual development plans, and general performance management) and individual workload management
  • Engage appropriate resources to support each team to effectively scale the business
  • Ensure team time frames and SLAs are met with budgetary and fiscal responsibility
  • Maintain and communicate competitor intelligence and analysis on industry peers to senior management

Collaboration & Communication
  • Develop, implement and maintain the processes and procedures necessary to facilitate effective communications with the organization’ s potential and current investor base including campaign management and leads management processes
  • Communicate and collaborate across various operations and enterprise teams
  • Create standardized metrics and processes for communication
  • Thematically consolidate and communicate voice of the customer and voice of the team feedback related to operations
  • Communicate and recommend operations and business cases to be considered

  • Bachelor’ s degree with 5-7 years of progressive business experience in project and operations management and change management - MBA is a plus
  • Lean Six Sigma or relevant process improvement experience strongly desired
  • PMP or project management certification a plus
  • Proven track record of developing and leading an effective operations or investor relations function in a financial services organization
  • Previous experience in securities, insurance, banking or wealth management required
  • Real estate investment management experience preferred
  • Fluent in second language, preferred (e.g. – Mandarin, Spanish, Korean)
  • Proficiency with Visio and Process mapping as well as advance MS Office skills required
  • Exceptional leadership skills, evidenced by successfully building, motivating, and managing high-performance teams and by effectively working as a partner with other executives and stakeholders
  • Reputation of teamwork, a strong work ethic, integrity, candor, and accountability to drive issues to resolution
  • Strong command skills (Leadership) and effective at motivating and managing vision & purpose
  • Exceptional customer focus, and a keen appreciation for the interests of our investor community
  • Strong written and verbal communication skills and effectiveness in a collaborative work environment
  • Metrics driven leader with proven ability to seek out, research and analyze data and information to make informed decisions as an action and results oriented leader in a collaborative environment

Compensation and Benefits
  • This is a full-time, salaried, exempt position located in downtown Dallas, Texas
  • Position will work an average of forty-five hours per week; longer hours may be required at times
  • Compensation will be commensurate with experience, and the position will be bonus- eligible, but any bonuses will be at the discretion of the Company
  • Position will be eligible for Company-paid health insurance premiums, and subsidized premiums for spouse and dependents.
  • Position will be eligible for participation in company-sponsored 401(k) retirement plan.

Confidentiality/Non-competition Agreement

Successful candidate will be required to enter into an employment agreement with the Company, which shall include provisions related to confidentiality and non-disclosure of certain information, as well as limited noncompetition provisions.
